About the Opportunity

Our firm is seeking an experienced, highly organized Transactional Real Estate Legal Assistant to provide dedicated 1:1 support to a senior real estate partner with a fast-paced and expanding commercial real estate practice. The ideal candidate will bring at least five years of transactional real estate experience, exceptional attention to detail, and the ability to thrive in a high-volume environment supporting an attorney with a billable load exceeding 300 hours per month.

Key Responsibilities

  • Provide dedicated administrative and transactional support to a senior real estate partner.
  • Manage attorney time entries and billing using 3E Elite.
  • Handle all non-billable administrative tasks, including scheduling, document organization, and correspondence.
  • Work with commercial real estate forms/systems such as AIA, AIR, and CAR.
  • Prepare and submit conflict checks, open new matters, and draft engagement agreements and conflict waivers.
  • Assist with transactional matters by assembling closing deliverables and preparing comprehensive closing binders.
  • Order lien, UCC, and litigation searches to support due diligence.
  • Draft, redline, review, and revise commercial real estate documents, including leases and purchase and sale agreements.
  • Manage entity formations and ongoing compliance for corporations, LLCs, and limited partnerships.
  • Prepare and file organizational documents, statements of information, notices of transaction, EIN applications, annual reports, and franchise tax forms.
  • Coordinate with state agencies and service companies to obtain Certificates of Formation and Certificates of Good Standing across multiple jurisdictions.

Required Qualifications

  • Minimum 5 years of experience as a transactional legal assistant, preferably in commercial real estate.
  • Strong proficiency in MS Word, Excel, and Outlook.
  • Experience supporting real estate development, acquisitions, and transactional matters.
  • Exceptional word processing, proofreading, and document formatting skills.
  • Excellent verbal and written communication abilities.
  • Highly organized, detail oriented, and able to manage multiple priorities in a fast-paced setting.
  • Tech-savvy with experience navigating AIA, AIR, and CAR systems.
